QKTech email signature
Type your details, check the preview, then copy your signature into Outlook.
1. Enter your details
Leave blank to hide it from the signature.
2. Choose your layout and copy it
3. Add it to Outlook
Two things to check before you save:
- The colours and fonts are kept: your name in blue, links not underlined, and “QualityKiosk is now QKTech” in white. If Outlook shows a small Paste options button, choose Keep source formatting. Never choose “Merge formatting”, which removes the colours and makes the black bar look empty.
- Make sure the logo and social icons are visible in the signature box. If you see grey boxes instead, don’t save: delete it, copy again from this page once the images show here, and paste again. Saving with grey boxes sends those grey boxes in every email.
Recommended for everyone (including Mac users): Outlook on the web
This is the tested, most reliable way. It works in Chrome, Edge or Safari, and the signature is saved to your Microsoft 365 account.
- Click Copy signature under the layout you want (above).
- Go to outlook.office.com in your browser and sign in.
- Click the Settings gear (top right), then Account → Signatures.
- Click + Add signature and give it a name, for example QKTech.
- Click inside the large editing box and press Ctrl + V (on a Mac, Cmd + V).
- Check it before saving: your name is blue, the links are not underlined, the logo and five icons are showing, and “QualityKiosk is now QKTech” is white on the black bar. If any of these look wrong, see the fixes at the bottom of this page.
- Tick Set default for new messages and Set default for replies and forwards.
- Click Save. Start a new email to check it appears correctly.
Remove your old signature: if you had a QualityKiosk signature before, delete it in the same Signatures screen, so emails don’t show both.
New Outlook for Windows
- Follow the same steps as Outlook on the web above. The settings screens are the same.
Classic Outlook for Windows (desktop app)
- Click Copy signature under the layout you want.
- In Outlook, go to File → Options → Mail → Signatures…
- Click New, type a name (for example QKTech) and click OK.
- Click inside the Edit signature box and press Ctrl + V. If a small paste icon appears, choose Keep Source Formatting.
- On the right, set New messages and Replies/forwards to this signature.
- Click OK, then start a new email to check it.
Outlook for Mac (desktop app)
- Please don’t paste the signature directly into the Outlook for Mac app. In our tests, it replaced the logo and icons with grey boxes and sent those in every email.
- Set it up in Outlook on the web instead, using the recommended steps above.
- If you also send email from the Mac app and the signature doesn’t appear there, ask IT whether “cloud signatures” can be turned on for your account, so the web signature appears in the app.
Outlook on iPhone or Android
- The Outlook phone app has its own, simpler signature setting and won’t keep this design reliably.
- In the app, go to Settings → Signature and type a short text version, for example:
If something looks wrong
- Plain font, black name, underlined links, or the black bar looks empty: Outlook removed the formatting while pasting. Delete everything in the box and paste again. If a small Paste options button appears, click it and choose Keep source formatting. Don’t use “Merge formatting” or “Paste text only”.
- Copy button doesn’t work: drag to select the whole signature card with your mouse, press Ctrl + C (Cmd + C on a Mac), then paste as above.
- Grey boxes instead of the logo or icons in emails you send: your signature was saved before the images had loaded, so Outlook saved the grey placeholders. Delete the signature, copy it again from this page and, before saving, check the logo and icons are visible in the signature box. If your Mac app keeps showing grey boxes, set the signature up in Outlook on the web instead.
- Logo or icons not showing for someone who received your email: they load from qktech.com. Some recipients need to click “Download pictures” or “Show images” in their email.
- Need to change a detail? Change it in step 1 above and copy again, rather than editing text inside the card in Outlook, as editing there can break the formatting.
